Manasota Mensa Executive Committee Meeting

August 2, 2009

Call to order at 2:08 p.m. by Linda Mason.

In Attendance:

ExComm members: Linda Mason, Elizabeth Dexter, Jeff DeCola, Terri Tumlin, and Karen Shoemaker. Other members present: Nancy Heinrich and Ruth Danielle.

Minutes of Last Meeting:

The minutes were reviewed by all.  Jeff DeCola made a motion to approve, Elizabeth Dexter seconded.  Motion passed unanimously.

Treasurer’s Report:

1.      Balance is $6033.06

2.      Expenses to date for 2009:

·         Paid for banners

·         Replenished postal account

·         Renewed Postal Permit

·         4M Printing   

Gifted Children:

1.      Terri Tumlin has had some members contact her about gifted children.  She is provided with a list of children by American Mensa and can assist in coordinating communication between people who would like to meet. 

Program:

1.  Nancy Heinrich has confirmed hosts for meetings through the end of the year.

Proctor:

1.  Nancy Heinrich reported that there have been 3 tests since the last meeting.

Scholarship and S.I.G.H.T:

1.      Myra Jones will continue with this position.

Webmaster:

1.               Nancy reported that Dwight has added a new photo gallery to the website.  (www.manasota.us.mensa.org)

Old Business:

 

 

 

 

1.      Terri Tumlin has secured the same gazebo as last year for September 26th from 3:30 – 7:30 at a cost of $160.00.

2.      Terri is working on family-friendly fun for all.

 ·         Members’ Email Group:  Karen Shoemaker is still working on this.

 

 New Business:

 

·         Officer Resignation:  Trevor McGuire has resigned from the Executive Committee as he is now living out of state.  Per Manasota Mensa bylaws stating that there must be four at-large members for a group over 250 members, the Executive Committee must select new officer.

 

·         New Board Member Replacement:  Ruth Danielle declined nomination.  Terri Tumlin made a motion to nominate Nancy Heinrich and Jeff DeCola seconded the motion.  All approved.

 

·         Appointment of Nominating Committee:

1.      Linda Mason asked Ruth if she would serve in the Nominating Committee and head it.  Ruth accepted.

2.      It was suggested that she contact Don Brunner, Marianne Gill, and Edgar Coudal to assist.

3.      Elizabeth Dexter moved that the Nominating Committee also serve as Election Committee.  Nancy Heinrich seconded the motion and all approved.

 

·         Treasury Audit Report:  John Tumlin’s audit report had the following suggestions:

1.      Obtain check images (Elizabeth Dexter did note that the bank statements do show images).

2.      Use Quicken to download information from the bank.

·         Member Comment:  Ruth Danielle had a comment about minutes.  She said that she has asked for copies and has never received them.  She would like copies sent to her.

·         Anniversary Dinner:  Elizabeth Dexter moved to request that Marianne Gill coordinate the anniversary dinner.  Nancy Heinrich seconded the motion, all approved.

·         Restaurant Charges:  Elizabeth Dexter stated that it had been brought to her attention that there are sometimes additional fees associated with large groups at restaurants.  Nancy Heinrich made a motion that Manasota Mensa will pay these additional expenses (if applicable), Terri Tumlin seconded the motion.  All approved.

 

·         Next Meeting:  The next meeting of the Manasota Mensa Executive Committee will be held on November 15, 2009 at 2:00 p.m. at the Barnes & Noble in Sarasota.

Manasota Mensa Executive Committee Meeting             MINUTES                  Sunday, May 3, 2009

Call to order at 2:02 p.m. by Linda Mason.

In Attendance:

ExComm members: Linda Mason, Elizabeth Dexter, Jeff DeCola, Trevor McGuire, and Karen Shoemaker. One other member was present: Nancy Heinrich.

Minutes of Last Meeting:

The minutes were previously emailed to ExComm members.  Jeff DeCola made a motion to approve, Elizabeth Dexter seconded.  Motion passed unanimously.

Treasurer’s Report:

1.      Balance is $6727.41

2.      Printing costs for the 4M have been paid for May.

3.      The Financial Report was submitted to American Mensa on time.

4.      Nancy Heinrich mentioned that we will need to replenish the postal account.  

Membership:

1.      Membership is up to 284 as per the American Mensa website. 

Proctor:

            1.  Nancy Heinrich reported that there have been no tests yet this year.

Program:

1.  Nancy Heinrich, as Interim Program Coordinator, has confirmed hosts for June and July Monthly Gatherings.  She will also be hosting a going away party for ExComm member Trevor McGuire in July.

New Business:

1.      Elizabeth Dexter made motion to once again hold the picnic this year, Jeff DeCola seconded the motion.  All were in favor. 

2.      Jeff DeCola made motion to hold picnic annually, Elizabeth Dexter seconded, motion approved unanimously.

3.      Linda Mason made motion to fund the picnic and also to ask Terri and John Tumlin to host the picnic again.  Trevor McGuire seconded the motion, all were in favor.

4.      Nancy Heinrich mentioned that the Mensa banner that we currently have is in poor condition.  Elizabeth Dexter moved to fund new banners and Jeff DeCola seconded the motion.  Nancy will look into prices and report to Linda Mason, and ExComm will approve via email.  All were in favor.

 ·         Members’ Communication:  Karen Shoemaker suggested that we look into ways to communicate with members such as an email group or other bulletin board system.  This list will be limited to approval based on membership.  Trevor McGuire offered to help find information on other systems.  We will follow up with more information later.

 ·         Officer Leaving:  ExComm member Trevor McGuire will be moving out of state next month.  Elizabeth Dexter will look into bylaws for procedure of replacing ExComm officer.

 ·         Next Meeting:  The next meeting of the Manasota Mensa Executive Committee will be held on August 2, 2009 at 2:00 p.m. at the Barnes & Noble in Sarasota.

Manasota Executive Committee Meeting            MINUTES          Sunday, December 28, 2008

The last (2008), and then first (2009) meetings of the Manasota Mensa ExComm were held on December 28, 2008.  Below are the minutes from both meetings:

Notes by Elizabeth Dexter for first meeting (former ExComm):

The ExComm Meeting was called to order at 2:15 p.m., with Norm Zarumba officiating as the exiting Local Secretary.

2008 ExComm members present: Norb Zarumba, Elizabeth Dexter, Dwight Gill, Jeff DeCola, Linda Mason, and Stewart Ogilby. Other members present were Nancy Heinrich, Marianne Gill, and Karen Shoemaker.

Nancy Heinrich, Proctor Coordinator, noted that 4 people have been tested in the last 4 months.

Program Coordinator: Dwight Gill noted that Marianne will be resigning as Program Coordinator as of May 2009.

It was also noted that planning for an RG has been suspended indefinitely. 

The 2009 ExComm includes Linda Mason, Stewart Ogilby, Jeff DeCola, Karen Shoemaker, Trevor McGuire, Terri Tumlin, and Elizabeth Dexter. Elizabeth Dexter moved to affirm the new board, and Dwight Gill seconded the motion. Motion passed.

Jeff DeCola moved that Linda Mason officiate the second phase of the meeting with the 2009 ExComm. Steward Ogilby seconded. Motion passed.

The meeting of the 2008 ExComm was adjourned at 2:40 p.m.

Call to Order: Linda Mason at 2:41 p.m.

In attendance:

Executive Committee selected officers for 2009 year:

Local Secretary - Elizabeth Dexter nominated Linda Mason as Local Secretary, Karen Shoemaker seconded.  Motion passed unanimously.

Deputy Local Secretary – Elizabeth Dexter nominated Karen Shoemaker as Deputy Local Secretary, Jeff DeCola seconded the motion.  Motion passed unanimously.

Treasurer - Stewart Ogilby nominated Elizabeth Dexter as Treasurer, Jeff DeCola seconded the motion.  Motion passed unanimously.

Old Business

Bylaws Committee:  Jeff DeCola said that he would help and also that he would ask Helen to take part.  Linda Mason and Elizabeth Dexter also volunteered to help. Committee will ask Edgar Coudal if he will sit on the committee or serve as an advisor due to his knowledge of the current bylaws.

Treasurer’s Report:

1.  The Executive Committee voted to raise the Proctor reimbursement (upon request) from $5.00 to $10.00 per test.  Jeff DeCola made the motion for the increase, Karen Shoemaker seconded the motion.  All were in favor. 

2.  The Executive Committee voted to reimburse Nancy Heinrich $40.00 retroactively for 4 admissions tests given in the fall of 2008 per her request.  Jeff DeCola made a motion and Stewart Ogilby seconded the motion.  All were in favor.

3.  Manasota Mensa will sponsor up to 2 teams again in Culture Quest.  Jeff DeCola made motion to fund the team and Stewart Ogilby seconded the motion.  All were in favor.

4.  John Tumlin previously volunteered to conduct the annual Budget Audit in January.  Elizabeth Dexter asked if the Executive Committee would require an additional audit prior to submitting the Annual Report in April.  Jeff DeCola made a motion that the Annual Audit would be sufficient and Stewart Ogilby seconded the motion.  All were in favor.

5.  There was discussion regarding what to do with surplus Treasury funds.  Jeff DeCola made a motion for Elizabeth Dexter to research options and report at the next Executive Committee meeting.

New Business:

A note of thanks will be sent to Norb Zarumba for his service as past Local Secretary.
